Qualified accountants have a professional obligation to ensure clients are transferred between firms in an ethical, prompt and competent manner.

The new accountant sends an ethical letter to the existing accountant to start this process. Sometimes there can be fee disputes with the existing accountant that need to be finalised and there might be a bit of extra work in the changeover, but normally it is never as difficult as people imagine.
